Respond
Answers every inbound call, including after hours. Qualifies the caller, books the job, and writes it into the system you already run.
LuxArca works alongside owners of local and multi-location businesses to design, build, and run AI systems across the operation, from the front desk to the back office.

Revenue lost to missed calls. Right leads going to the wrong place. Reports someone rebuilds by hand every Monday.
None of that is a technology problem. It is value the business already owns but cannot reach.
We build the ROI-driven systems that reach it, and scale with you as you grow.

The systems
Off-the-shelf tools fix one problem and stop there. They don’t grow when you do. Five systems on one foundation start at the front desk and go as deep as the operation needs. Start building something that lasts in the AI era.
Answers every inbound call, including after hours. Qualifies the caller, books the job, and writes it into the system you already run.
Picks up the leads that stall after first contact. Follows up on a schedule, hands the live ones to a person, and flags the threads going cold.
Works the customers already in your records. Finds who is due, gives them a reason to come back that is specific to them, and tracks what returned.
Maps how work actually moves through the business, then decides where each job goes — on the rules you set, not on who happens to be free.
Takes the judgment that lives in one person’s head and puts it in a workspace the team works inside. Built around how the operation already runs.
The roadmap
We write down how the business actually runs before anything is built.
The workflows, rules of thumb and judgment calls that currently live in one person’s head, written down.
Where calls, leads and hours are being lost, and which of those a system should take on first.
What we learned, turned into the scripts, rules and decision logic the system will follow.
We build what the Schematic called for — Respond, Retain, Resell, Route or Reimagine.
Your services, service area, prices, and the way you talk to customers.
What it may say, what it must hand to a person, and when.
Run against real scenarios from your business before a customer ever hears it.
It works inside the tools you already run, not beside them.
Which systems hold your customers, your jobs and your calendar.
Reads from and writes to your CRM, calendar, and job or practice software.
A booking it makes shows up where your team already looks.
Where the work leaves the building, the system follows it.
Payments, messaging, review sites and lead sources.
Sending the text, taking the deposit, asking for the review.
Every connection tested end to end before it goes live.
Live on real calls and real leads, with your team trained on it.
Switched on in stages, not all at once.
Your team knows what it does, and when it hands something to them.
We track what it answers, books and hands over.
Questions
Most AI tools are sold, switched on, and left for you to run. We measure the calls, leads and customers you’re already losing first, build to those numbers, connect the system to the software you already use, and stay on to run it.
We go further into the operation only once the first system is working. Every call is recorded and transcribed, so you can check its work yourself instead of taking our word for it.
No. It takes the calls, follow-ups and reminders nobody has time for. Nobody hires a second receptionist to answer a phone that’s already ringing.
People keep the judgment. The systems answer, draft, route and remember. Anything that can’t be undone is decided by a person.
With the Schematic. Before we build anything, we write down how the business actually runs and measure what it’s losing: calls missed by hour and day, leads that went cold, customers you haven’t heard from in a year. You get the numbers, and what each system would recover.
Then usually Respond, because missed calls are the easiest leak to measure. Retain and Resell follow once the calls are being answered. Route and Reimagine come after that, scoped to what the Schematic found.
No. The work it does is plain: answering the phone, following up, booking, reminding. That work needs doing whether the hype holds or not.
The model is the part that changes fastest, so we don’t build around one. What we build is specific to you: your rules, your scripts, how you want a call handled. When a better model is worth moving to, we move you, and your rules come with it.
Respond, Retain and Resell: [timeline to confirm]. Route and Reimagine: [timeline to confirm], set in the scope.
Respond, Retain and Resell are priced from a rate card. Route and Reimagine are scoped after the Schematic. You have a number before you commit to anything.
Yes. The agent says so at the start of every call. A caller who would rather speak to a person is passed to your team, or booked for a callback when you’re closed.
It works inside rules you sign off: what it may say, what it must hand to a person, and when. Every call is recorded and transcribed, and you can listen to any of them. When something goes wrong, we find the call, show you the recording, and change the rule.
No. It connects to what you already run: your CRM, your calendar, and your job, practice or POS software. Your team’s part is time with us during the Schematic, explaining how the work actually gets done. The building and connecting is ours.
Everything the systems handle is recorded: the calls, their transcripts, the details callers give, and every message sent in your name. It is held in the systems we run for you, not on your office computer. Your team and ours can see it. We don’t sell it or use it for anything else.
Any of it is exported to you when you ask: recordings, transcripts, your customer list, and the rules the system follows. If you leave, you get all of it, you switch the forwarding off yourself, and we support the handover for 30 days. That is a term in the contract, not a promise on a call.
Reimagine is held separately, in a workspace set up for your business.
Nothing. It’s your number. Calls forward to us when nobody picks up, and you can switch the forwarding off yourself.
How your system is set up is documented, and everything in it can be exported on request. Your calls forward to us only while you let them. You can switch the forwarding off yourself.
Watch the system take a call, then we’ll show you where your calls and leads go today.
